Modern Dental Concepts ("we," "us," or "our") operates the website at moderndentalconcepts.com. This Privacy Policy explains what personal information we collect, how we use it, and your rights regarding that information.
Important: This website is an informational and appointment-request site only. We do not collect, store, or transmit protected health information (PHI) through this website. Your dental records and clinical information are managed separately under HIPAA by our practice management system.

A. Information You Provide
When you submit our contact or appointment-request form, we collect:
- Your name
- Your phone number
- Your email address
- The type of dental insurance you have, if any (appointment requests only)
- A message or appointment request you choose to include
We do not ask for, and you should not include, sensitive dental or health information in the web form.
B. Automatically Collected Information
When you visit our website, we automatically collect certain technical information through third-party services:

- Microsoft Clarity — a website analytics and session-replay service provided by Microsoft. Clarity helps us understand how visitors use our site — such as which pages are viewed, clicks, scrolling, and general usage patterns, including session recordings of on-page interactions (mouse movement, clicks, and scrolling) — so we can improve the experience. - Google Ads — we advertise on Google, and our website uses the Google tag to measure how well those ads work. When you visit a page, the tag lets Google know the visit happened and whether you arrived by clicking one of our ads. When you successfully submit our appointment-request form, the tag also sends Google a “conversion” signal so we can see which ads lead to appointment requests. That signal contains only the fact that a request was submitted, the page address, and standard technical details (such as your IP address, browser type, and an ad-click identifier). The name, phone number, email address, and other details you type into our forms are never sent to Google. - YouTube (embedded videos) — some pages, such as our Patient FAQs, offer short educational videos from the American Dental Association. Nothing is loaded from YouTube when you open the page. If you press play, the video is delivered by YouTube (a Google service) in its privacy-enhanced mode, and Google may receive technical information such as your IP address and browser details and may set cookies once you start a video. 2. How We Use Your Information
We use the information you submit through our contact form solely to:
- Respond to your enquiry or appointment request
- Schedule and confirm appointments
- Follow up regarding your request if we do not reach you on first contact
We do not use your contact information for unsolicited marketing, and we do not sell your information to any third party.
3. Children's Privacy (COPPA)
We welcome patients of all ages, including children. If a parent or legal guardian submits an appointment request on behalf of a child under the age of 13, that submission is made by and attributed to the parent or guardian. We do not knowingly collect personal information directly from children under 13.
If you believe we have inadvertently received personal information from a child under 13 without parental consent, please contact us immediately at [email protected] and we will promptly delete it.

5. Data Sharing
We do not sell, rent, or trade your personal information. We share information only:
- With our web hosting and email service providers to the extent necessary to operate the website and deliver your message to our team
- With Cloudflare, Microsoft, and Google as described above in Section 1, which process the technical, usage, session, and advertising-measurement data collected through their respective services. We never share the contents of our web forms with Google or Microsoft.
- If required by law, court order, or governmental authority
6. Data Retention
Contact form submissions are retained only as long as necessary to fulfill the purpose for which they were submitted (typically to schedule and confirm an appointment). Once an appointment is established in our practice management system, web form data is not stored indefinitely on our web servers.
7. Security
Our website is served over HTTPS. Contact form data is transmitted using TLS encryption. We implement reasonable technical and administrative safeguards to protect your information from unauthorised access.
